1.Our Services

Wildroots Africa Safaris provides safari and travel arrangement services, including transportation, accommodation bookings, meals, guided excursions, wildlife experiences and other services agreed upon in your safari itinerary.

We work with independent service providers to arrange services required for your safari, including lodges, hotels, gorilla trekking and other permits, national park entry fees, transport operators and other tourism services. These providers may have their own terms and conditions, payment requirements and cancellation policies. Where applicable, these conditions will apply to the relevant services booked on your behalf.

By confirming your safari and making the required payment, you acknowledge that you have read and accepted these Terms and Conditions.

2.Safari Prices and Inclusions

The prices quoted for each safari are based on the agreed itinerary and include the services specified in your quotation. Depending on the package, these may include:

• Accommodation in hotels, lodges or guesthouses.
• National park entrance fees and applicable activity fees.
• An English-speaking driver-guide.
• Bottled drinking water in the safari vehicle.
• Transportation and other services expressly included in the itinerary.

Any services not specified in the quotation are excluded unless agreed upon in writing.

Wildroots Africa Safaris reserves the right to review prices if there are significant changes in exchange rates, government taxes, permit fees or the costs charged by service providers. We will make reasonable efforts to minimise any price increases and communicate applicable changes to clients.

3.Booking and Payment Terms

A deposit of 30% of the total safari cost is required to secure a booking, unless otherwise agreed in writing.

The remaining balance must be paid at least 30 days before the safari start date.

Certain services, including gorilla trekking permits, other wildlife permits, flights and specific accommodation bookings, may require earlier or full payment due to the terms imposed by the relevant providers.

Payments made for permits, flights and other services that are non-refundable under the applicable provider's terms may not be recoverable if a booking is cancelled.

4.Cancellation and Refund Policy

All cancellation requests must be submitted in writing to Wildroots Africa Safaris. A cancellation becomes effective on the date the written request is received.

Refunds are calculated after deducting non-refundable permit fees, flight costs, accommodation charges, supplier cancellation fees and other expenses already incurred or committed on behalf of the client.

The following cancellation schedule applies to the remaining refundable amount after these deductions:

The initial 30% booking deposit is non-refundable.

Any cancellation costs charged by third-party service providers will be deducted before a refund is calculated. We do not refund expenses already incurred or costs that cannot be recovered from our service providers.

5.Force Majeure and Unforeseen Circumstances

Force majeure refers to circumstances beyond reasonable control, such as natural disasters, severe weather events, epidemics or pandemics, civil unrest, government restrictions and other events that make it impossible or significantly affect the delivery of agreed services.

In such circumstances, Wildroots Africa Safaris will assess the situation and communicate available options to affected clients. Any refund will be subject to costs already incurred, non-refundable services and the applicable terms of third-party providers.

Where possible, we may assist with rescheduling or arranging alternative services, subject to availability and any additional costs.

6.Liability

Wildroots Africa Safaris will make reasonable efforts to arrange and deliver the services specified in the agreed itinerary. However, some services are provided by independent third parties and may be affected by circumstances beyond our reasonable control.

To the extent permitted by applicable law, Wildroots Africa Safaris shall not be liable for losses, delays, cancellations, illness, injury, damage or additional expenses arising from events beyond our reasonable control or from the acts or omissions of independent service providers.

Nothing in these terms excludes or limits liability where such exclusion or limitation is prohibited by applicable law.

7.Health and Travel Insurance

Clients must inform Wildroots Africa Safaris of any relevant medical conditions, mobility limitations or special requirements before confirming their booking, so that appropriate arrangements can be considered.

Comprehensive travel insurance is strongly recommended. Clients should ensure their policy covers medical expenses, emergency evacuation, trip cancellation, personal belongings and activities included in their itinerary, such as gorilla trekking where applicable.

Clients are responsible for ensuring they meet the relevant health, fitness, visa and travel requirements for their safari.

8.Service Quality and Feedback

Wildroots Africa Safaris is committed to providing quality safari experiences and professional customer service. We aim to make every journey enjoyable, safe and memorable.

9.Acceptance of Terms and Conditions

By confirming a booking and making the required payment, clients acknowledge that they have read, understood and accepted these Terms and Conditions.
